The Opportunity
FCA is excited to announce an opportunity for the position of Executive Assistant. As we continue to grow and evolve, we are seeking a highly skilled professional to provide high-level administrative support to the President/CEO and, as needed, other members of the C-suite.
The ideal Executive Assistant will foster a positive workplace culture, exercise sound judgment, and possess strong communication, organization, and administrative skills. This role requires balancing multiple priorities with the utmost discretion.
Responsibilities
- Manage and coordinate the President/CEO's daily calendar of meetings and events.
- Manage incoming and outgoing correspondence and communications on behalf of the President/CEO.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of FCA's objectives.
- Arrange travel and accommodation for C-level executives.
- Prepare expense reports and credit card reconciliations.
- Screen incoming telephone calls and visitors; take accurate messages; respond to requests and refer to non-routine matters as appropriate.
- Maximize the President/CEO's time by anticipating needs and providing research, information, and analysis in advance
Participate in required organization - Maintain Board correspondence, including preparing agendas, scheduling meetings, taking minutes, and completing necessary reports.
- Oversee office operations, ensuring equipment is functional and supplies are maintained. Ensure that all office equipment and machines are operational, and that supply inventory is ordered and maintained.
- Supervise, train, and coordinate coverage for support staff.
- Participate in required organization, programs, and regulatory meetings and trainings.
- Assisting with other tasks, projects, and responsibilities as assigned.
Qualifications
- Bachelor's degree with a minimum of 5 years as an executive assistant supporting C-level executives in a fast-paced environment.
- Ability to work independently with minimal supervision and take initiative to anticipate needs and address issues.
- Excellent organizational and time management skills, with the ability to multitask and prioritize.
- Strong interpersonal skills with the ability to build relationships at all levels.
- Valid and clean New York State Driver's License.
