Administrative Assistant (FT)
Location: Hicksville, NY | Schedule: FT Monday-Friday | Status: Non-Exempt |Salary Range: $21.88-23.00/hour
The Opportunity
The Administrative Assistant serves as the first point of contact for individuals seeking services at the Certified Community Behavioral Health Clinic (CCBHC). This position provides exceptional customer service while supporting Open Access intake, client registration, centralized scheduling, and general administrative functions. The Administrative Assistant works collaboratively with clinical and administrative staff to ensure timely access to care and efficient daily operations.
Responsibilities
- Greet clients and visitors with professionalism, compassion, and exceptional customer service.
- Register new and returning clients by collecting, verifying and updating demographic, insurance, and other required information.
- Coordinate Open Access client flow and guide clients through the intake and registration process.
- Schedule, reschedule, and confirm appointments for behavioral health and integrated care services while maintaining accurate provider schedules.
- Answer and route incoming phone calls, respond to inquiries, and provide information regarding available clinic services.
- Verify insurance eligibility, collect co-payments, when applicable, and maintain accurate client records within the Electronic Health Record (EHR).
- Scan, upload, and organize required documentation to ensure complete, accurate, and compliant client records in accordance with agency policies and procedures.
- Maintain confidentiality of client's information in accordance with HIPAA regulations and agency policies.
- Provide administrative support to clinical and leadership staff, including document preparation, filing, correspondence, and general office coordination.
- Collaborate with multidisciplinary team members to promote timely access to care and quality patient services.
- Perform additional tasks, projects and responsibilities assigned to support program operations.
Qualifications
EDUCATION:
- HS Diploma or equivalent
- Minimum 1-2 years of administrative or office support experience, preferably in a healthcare or social services environment.
- Experience with electronic health records, scheduling systems, and Microsoft Office applications.
- Bilingual in Spanish and English, preferred

- Communication Skills - Clear, professional interaction with staff and clients. Demonstrating empathy and patience in interacting with individuals and families facing various challenges. Ability to understand and address cultural differences of clients and co-workers.??

- Technology Proficiency - Skilled in office software and equipment.
- Strong problem-solving and conflict-resolution skills-Handles issues calmly and finds effective solutions.
- Discretion & Confidentiality - Trusted with sensitive information. Ability to maintain confidentiality in accordance with HIPAA, OASAS, and OMH regulations.?
