Temporary Administrative Assistant

The Opportunity

Our Family Treatment Recovery Clinic is seeking a Temporary Administrative Assistant with excellent organizational skills

support the operations of the program by initiating, coordinating and executing various administrative, fiscal and clerical functions.


Responsibilities

  • Manage all essential basic functions of the building including security, phones, fax, copier, sign-in/out sheets, visitor sign in, front desk and phone coverage.
    • Initiate and follow-up on all work orders.
    • Coordinate with outside vendors on supplies and maintenance issues as needed.
    • Maintain files and filing system, including but not limited to scanning into the EHR, managing roster reports, and managing record requests.
    • Handle client complaints or messages and ensure follow-up is conducted in a timely fashion.
    • Assist program staff with computer difficulties and act as a liaison with Network Outsource and IT to resolve difficulties.
    • Maintain sufficient supplies for the office through inventory oversight and order supplies as needed.
    • Conduct billing authorization process prior to initial visit, and monthly updates of epaces.
    • Communicate with all program staff regarding building activities and changes.
    • Attend all required meetings.
    • Collaborate with Director(s), Senior/Assistant Office Manager(s), and site Supervisor(s) to ensure office procedures are efficient and effective, developing improved systems as needed.
    • Assume other responsibilities and tasks as assigned.


    Qualifications

    High School Diploma or equivalent

    Minim of two years' experience of administrative experience with diverse responsibilities preferred.

    Intermediate computer skills with Microsoft Office.

    Excellent verbal and written communication skills

    Additional Information

    Schedule: Monday-Friday, this is a non-exempt position

    Salary: $20.12/hr

    Location:  Hempstead
