Medical Record and Benefits Specialist

Location: Hicksville | Schedule: Full-Time, Monday-Friday 8:30 AM - 4:30 PM, 35 Hours | Status: Non-Exempt | Salary Range: $22.00-$25.00/hour

The Opportunity

Join Family & Children's Association (FCA) as a Medical Records and Benefits Specialist and play an essential role in supporting quality care for individuals receiving outpatient behavioral health and substance use treatment services. In this highly collaborative position, you will manage medical record requests, verify insurance coverage and benefits, coordinate client appointments, and facilitate communication with courts, probation departments, and other community partners.

Responsibilities

  • Process and track medical record requests in compliance with HIPAA regulations and agency policies.
  • Coordinate the timely release of medical records to healthcare providers, legal entities, and authorized external requestors.
  • Verify client insurance eligibility, benefits, and authorization requirements.
  • Communicate insurance coverage details and client financial responsibilities as appropriate.
  • Enter and maintain accurate insurance, demographic, and other required information in the Electronic Health Record (EHR) system.
  • Schedule, reschedule, and confirm client appointments based on provider availability and clinic needs.
  • Maintain inquiry and tracking logs for hospitals, court systems, probation departments, and other external agencies.
  • Prepare and submit court- and probation-related documentation in accordance with agency and legal requirements.
  • Maintain confidentiality and professionalism in all interactions with clients, families, staff, and third parties.
  • Complete all agency, program, and regulatory reports, data entry, correspondence, and other required documentation accurately and within established deadlines.
  • Participate as an integral member of the interdisciplinary treatment team, attend team meetings, trainings, and in-service workshops as scheduled.

Qualifications

  • High School Diploma or equivalent required. Associate degree or certification in Medical Office Administration, Health Information Management, or a related field preferred.
  • Minimum of one (1) year of experience in a healthcare, outpatient clinic, medical office, or behavioral health setting required.
  • Experience with medical records management, insurance verification, appointment scheduling, and Electronic Health Record (EHR) systems preferred.
  • Bilingual in Spanish and English preferred.
  • Intermediate proficiency with Microsoft Office 365, including Teams, Word, Outlook, and Excel.
  • Strong organizational skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Excellent verbal and written communication skills, with a commitment to professionalism and client confidentiality.
