Contract Coordinator

Location: Garden City, NY | Schedule: Full time 35/hours | Status: Non-Exempt |Salary: $22.50/Hour


The Opportunity


The Contract Coordinator is responsible for timely preparation, submission and payment reconciliation for claims submitted to various funding sources (local, state and federal government, etc.). The Coordinator will review billing data for accuracy and integrity, monitor contract budgets, and support compliance with funding and accounting guidelines. 


Responsibilities

  • Prepare and document assigned monthly or quarterly reimbursement claims to funding sources.
  • Reconcile expenditures claimed to the General Ledger (G/L) to ensure financial accuracy.
  • Maintain year-to-date claim logs and perform quarterly reconciliations.
  • Monitor and track contract budgets to ensure full utilization of approved funds and compliance with funding requirements.
  • Prepare credit and debit memos related to disallowances and advance recoupment, and record transactions for supervisor approval.
  • Maintain accurate records of all claims, supporting documentation, and communications with funding sources.
  • Review monthly credit card expenses to ensure accurate coding and proper allocation to the correct accounts.
  • Carry out additional tasks and special projects as assigned.


Qualifications:

  • Associate or Bachelor's degree in accounting, finance, business administration, or related field preferred.
  • Knowledge of billing, accounting, or grant/contract administration, preferably in a nonprofit or government-funded environment.
  • Understanding of general accounting principles and public funding regulations.
  • Proficient in Microsoft Office Suite and accounting software (e.g., NetSuite or similar systems).
  • Excellent organizational skills with attention to detail and accuracy.
  • Strong analytical, communication, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines.
