Administrative Coordinator (Temporary)

Hicksville, NY | Salary: $23-25/Hour| Schedule: Temporary, 35 hours per week


The Opportunity

The Administrative Coordinator supports the daily administrative and operational functions of the Community Behavioral Health Clinic (CCBHC). This position plays a key role in maintaining office efficiency, coordinating client registration, handling insurance authorizations, managing billing-related tasks, and supporting staff with general administrative needs. 


Responsibilities:

  • Assist in managing centralized scheduling, organizing office functions, and supporting day-to-day operations.
  • Perform all front desk responsibilities including answering phones, client registration and check-ins/outs, and handling client complaints or messages and ensure timely follow-up with appropriate staff.
  • Conduct insurance verification, treatment authorizations, and related follow-ups; enter initial client billing information into the EHR and monitor monthly updates in ePACES or similar systems.
  • Complete and submit all agency, program and regulatory reports, and other required documentation.
  • Collaborate with the Senior Office Manager and site leadership to identify and implement improvements to office processes and systems, including onboarding and training new staff in office procedures and systems as needed.
  • Additional responsibilities as assigned to support the operations of the program.


Qualifications

  • High school diploma or equivalent required; Associate degree preferred.
  • Minimum of 1–2 years of administrative or office support experience, preferably in a healthcare or social services environment.
  • Knowledge of insurance authorization and billing processes is strongly preferred.
  • Experience with electronic health records (EHR), OASAS systems, and ePACES or equivalent platforms desirable.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Bilingual in Spanish and English preferred.
